The International Affairs and Industry Collaboration Office [IAIC] is an one-stop shop for all things international at Coimbatore Institute of Technology We are passionate about fostering global connections and enriching your academic journey with international experiences. Student Exchange/ Internship Programs

The IAIC is committed to a fair and open application process for our exchange/ internship programs.

Streamlined Exchange Program/Internship Application Process are as follows:

  • Program details are advertised well in advance based on partner universities' schedules. This gives you ample time to prepare and apply.
  • Depending on your program level (Bachelor's/Master's Ph.D.), IAIC send announcements directly to the relevant department head who will then forward the information to students.
  • To ensure student don't miss anything, we also post program details in CIT website, on IAIC notice boards, and relevant school, center notice boards.
  • The application deadline varies depending on program urgency and requirements, but students will always have at least 7 days to apply.

Procedures:

  • Candidates must fill the required application form along with the submission of documents.
  • If no applications are received or no suitable candidates apply, the program may be re-advertised twice.
  • If suitable applicants are still lacking, the Dean may nominate a student or relax selection criteria at their discretion.
  • If applications match the number of exchange slots, the IAIC may re-advertise to ensure a fair selection process.

The IAIC division has implemented a two-step selection process for exchange programs offered across different disciplines

Eligibility:

  • Programs are opened across campus and, ensuring equal opportunity for all students.
  • Students without standing arrears will be given priority.
  • A faculty member at CIT is not eligible to apply under the students' exchange programme even if registered as a Ph.D. student at CIT
  • Incomplete applications or those submitted after the deadline will be disqualified.

Selection Process:

Campus Interviews:

The first round of interviews will be conducted.

  • Depending on the number of available positions, top students will be shortlisted.
  • These interviews are scheduled within 1-2 weeks of the application deadline, considering students' academic calendar.

Final Panel Interview:

  • A panel representation from department will interviews the shortlisted students Dates and times are communicated via email and physical notices at least 2-7 days in advance.
  •  Head of Institution and Dean, IAIC selects the interview panel in consultation with relevant department.
  • Rescheduling requests are not accepted. Students unable to attend an in-person interview must notify the IAIC beforehand.

Evaluation:

  • Selection is based on a combined score: 20% from the Statement of Purpose (SOP) and 80% from the final interview.
  • Results are declared after Head of Institution and Dean’s approval, which may take up to one week. The Dean reserves the right to cancel the process or nominate an alternative candidate.

Mandatory Documents

  • Covering Letter addressed to the Principal, CIT (with phone number and email address)
  • Curriculum Vitae
  • Grade-sheet of previous semesters at CIT
  • Statement of purpose explaining why you are interested in participating in this international internship or exchange program and how this will benefit you.
  • Recommendation from your Head of Department
  • Copy of Passport or as specified in the notification
  • Post Selection and Return to CIT

The IAIC will orient the outgoing exchange/ internship students with respect to all the rules and regulations of the exchange and the costs associated with their travel abroad before they leave for the exchange /internship programme. Selected students will sign the IAIC undertaking form for acknowledging your commitment to abide by all academic regulations (credit, attendance, conduct) set by the host university. Students must maintaining 100% attendance and completing all task assigned by the host institution. Failure to do so may result in consequences like additional exams, assignments, semester repetitions. Students cannot engage in any formal work (paid or unpaid) during the exchange /internship program. Part-time or full-time jobs are also prohibited. Student must aware of the academic and financial implications of withdrawing from the program or returning early. Students be responsible for all cost (hostel, dining hall, tuition) for the entire semester for short period , regardless of absence. Students must be prepared to embrace cultural differences. Must uphold the laws of the host country and adhere to all academic/disciplinary regulations at the host university. Students upon return, requested to assist with campus orientation or other activities related to international guests and faculty.

Faculty Exchange Programs

The IAIC is passionate about fostering international collaboration for our faculty members! We offer exciting exchange programs at various universities worldwide.IAIC will advertise program details well in advance based on information from partner universities. This gives you ample time to plan and apply.IAIC will send program announcements directly to department HoD email depending on the academic areas

Process and Procedures:

  • To be eligible, faculty academic/research/subject background must align with the advertised program.
  • A valid passport is mandatory at the time of application.
  • Faculty must submit a completed application form with all required documents to the IAIC before the deadline
  • The Head of institution and Dean , has the final decision on selecting or shortlisting candidates
  • Preference is given to young faculty members who haven't participated in any international academic exchange programs.

After selection, IOAIC will introduce the faculty to the designated coordinator at host university, facilitating communication and collaboration on program details. If faculty required, the IAIC can assist with travel arrangements, insurance options, currency exchange, and visa application procedures.

Financial Support:
  • The IAIC strives for clear communication regarding financial support for faculty exchange programs:
  • Fully Funded Exchanges: If the host university fully covers all program costs, no additional financial support is available from the IAIC
  • Partially Funded Exchanges: For programs with partial funding, the IAIC may request from management to offer travel support else faculty must be self-sponsored.
  • Faculty members continue to receive their regular salary from CIT during the exchange program. They will not receive per diem allowances or salaries from the host university.

Memorandum of Understanding

Centralized coordination: All collaborations with partner and non-partner universities/ industries must go through the IAIC office. This ensures transparency and facilitates effective communication. Faculty members receiving personal emails regarding institutional affiliation should notify the IAIC by forwarding the email to deaniaic@cit.edu.in If any department or faculty expecting a delegation visit, involve the IAIC in discussions with partner and non-partner universities. The IAIC office will facilitates the signing of generic MoUs for new partnerships and renewals, favouring CIT students and faculty. MoU templates must be followed and its vetted by Head of Institution prior signing the MOU. These agreements avoid legal implications for CIT regarding hosting students/faculty from partner universities. The signed MoU , one copy must be submitted to IAIC office for filing purpose. Department can collaborate with the IAIC office to plan the financial aspects of programs/ events/ MoU signing/ industry visit. IAIC office will organize a welcome lunch or high tea for incoming guests using fund approved by head of institutions, but only for programs channelled through the IAIC.

Initiating Collaboration:

  •  Identify Potential Partners: Institution and industry must identify potential areas of mutual interest andexpertise. It involves industry representatives visiting institution for placements, projects, networking with alumni, faculty attending industry conferences, or networking events. Develop Memorandum of Understanding (MOU): Once industry partners are identified, an MOU outlining roles and responsibilities must be drafted and vetted by Head of Institution and Dean, IAIC. This document would specify the nature of the collaboration, intellectual property (IP) rights, confidentiality agreements, and duration of the partnership.
  • Establish Communication Channel: Dedicated points of contact must be established on both sides to facilitate communication and ensure smooth collaboration.
  • CIT Internal Pre-approval Process :Complete the pre-approval form for initiating the process of MoU. Form is available at website.

    Implementation:
  • Based on the agreed-upon areas of collaboration, specific activities will be implemented. 
  • It involves:

  • Student Support: Internships, Industry mentorship programs, skills training workshops, seminars, industry visits, mock interviews, and job shadowing opportunities.
  • Curriculum Development: Establishing Industry Advisory Boards, organizing guest lectures, incorporating real-world projects.
  • Research & Development (R&D): Joint research projects, contract research, technology transfer agreements.
  • Monitoring & Evaluation:

  • Regular meetings and reports will be used to monitor progress and ensure the collaboration is achieving its intended goals.
  • MoU copies and report must be submitted to International Affairs and Industry Collaboration Office.
