Standard Operating Procedures (SOPs) & Institutional Guidelines
Coimbatore Institute of Technology follows a well-defined framework of Standard Operating Procedures to promote transparency, safety, and systematic governance across the campus. These SOPs provide clear operational guidance to students, faculty members, and administrative personnel, ensuring that academic and co-curricular activities are conducted responsibly, safely, and in alignment with regulatory and institutional standards.
1. SOP – Industrial Visits
Objective
To enhance experiential learning by exposing students to real-world industrial environments that complement classroom instruction.
Approval Process
Industrial visits are initiated by the concerned department and forwarded through the Head of the Department for approval by the Principal. All permissions must be obtained well in advance, typically not less than fifteen days prior to the proposed visit.
Logistics and Safety Measures
Departments are responsible for arranging authorized transportation, ensuring student insurance coverage, and deputing a minimum of two faculty members to accompany the students. For mixed-gender groups, the presence of a female faculty member is mandatory.
Documentation
Upon completion of the visit, a comprehensive report detailing student participation, learning outcomes, and industry exposure is submitted to the department for record and review.
2. SOP – Security Services
Objective
To maintain a secure campus environment and safeguard institutional infrastructure round the clock.
Access Management
All entry and exit points are monitored continuously, and access is permitted only upon verification of valid identification for students, staff, and visitors.
Surveillance and Patrolling
Security personnel conduct routine patrols across academic blocks, hostels, laboratories, and common areas to deter unauthorized access and identify safety concerns.
Emergency Handling
Security staff are trained to respond promptly to emergencies such as fire incidents, medical situations, or security threats and to coordinate with external emergency services when required.
3. SOP – Anti-Ragging Measures
Objective
To uphold student dignity and ensure a harassment-free academic atmosphere.
Zero-Tolerance Policy
Any form of ragging—whether verbal, physical, emotional, or psychological—is strictly prohibited in accordance with UGC and AICTE regulations.
Preventive Monitoring
The Anti-Ragging Committee and Squad conduct regular inspections and surprise checks in hostels, cafeterias, and common areas.
Disciplinary Framework
Students found guilty of ragging are subject to stringent disciplinary action, which may include suspension, expulsion, and initiation of legal proceedings as per statutory provisions.
4. SOP – Placement Officers
Objective
To facilitate structured and equitable career placement opportunities for graduating students.
Industry Engagement
Placement officers actively engage with organizations and recruitment teams to expand campus recruitment opportunities and sustain long-term industry partnerships.
Student Preparation
The Placement Cell coordinates career readiness initiatives such as aptitude training, communication skills development, mock interviews, and technical assessments.
Recruitment Coordination
All placement drives—on-campus or virtual—are managed systematically to ensure transparency, equal opportunity, and adherence to institutional guidelines.
5. SOP – Anti-Drug Initiatives & Anti-Drug Club
Objective
To maintain a substance-free campus through education, vigilance, and collective responsibility.
Awareness and Prevention
Regular sensitization programmes, workshops, and informational campaigns are conducted to educate students on the adverse effects of substance abuse.
Anti-Drug Club Activities
Student-led initiatives under the Anti-Drug Club promote peer awareness, pledge campaigns, and community outreach activities in line with the approved club manual.
Monitoring and Enforcement
The Anti-Drug Committee works in coordination with campus security to monitor compliance and address violations promptly.
6. SOP – Independence Day Observance
Objective
To commemorate national heritage and foster a sense of civic responsibility among students and staff.
Ceremonial Protocol
All activities strictly adhere to the National Flag Code and official ceremonial guidelines.
Event Structure
The celebration includes flag hoisting, institutional addresses, cultural programmes, and recognition of achievements in academics, service, and sports.
Community Participation
Faculty, staff, and students are encouraged to participate actively in the celebrations to reinforce national values.
7. SOP – Student Club Events & Budget Approval
Objective
To support student initiatives while maintaining financial discipline and administrative oversight.
Event Proposal
Student clubs submit detailed proposals outlining objectives, schedules, invited guests, and expected outcomes through the designated faculty coordinator.
Financial Approval
A clear and itemized budget is reviewed by the faculty coordinator and forwarded to the administrative or finance office for approval.
Post-Event Compliance
After the event, clubs submit documentation including activity reports, photographs, bills, and a financial settlement statement to complete the approval cycle.
